The personal data we process depends on the type of Event you attend and how you interact with us.

When you register for any Finom Event, we collect your name and email address. You may also choose to provide your phone number, postal address, preferred language for communication, and professional details, such as your job title, company name, company size, and LinkedIn profile URL, which help us tailor the session and any related communications to you to the right audience but are not required to complete your registration. We also record your consent status in respect of marketing communications and any communications addressed to us by you in connection with the Event.

For in-person events, we may additionally collect dietary and accessibility requirements where you choose to provide them; this information is used solely to accommodate your needs on the day and is not used for any other purpose. We may also take photographs and record video footage at in-person Events. Such photographs and video are used only to publish a post-event recap on our social media channels, confirming that the Event took place and showcasing its atmosphere; we do not use this material for any other marketing or promotional purpose. If you would prefer not to be photographed, please let our team know at check-in.

For webinars and online sessions, the hosting platform records technical attendance data, including join and leave times and session duration. Where you participate through chat, Q&A, polls, or surveys, we may process the content of those contributions. Where a session is to be recorded, attendees will be notified in advance. If you do not wish to be recorded, you may keep your camera and microphone switched off throughout the session. We also analyse aggregated attendance and engagement data to improve future Events.

We process your personal data for the purposes of administering Finom Events, including managing your registration, providing access, sending you communications related to the Event, recording sessions where applicable, and analysing attendance and engagement data. The legal basis for this processing is our legitimate interests under Article 6(1)(f) GDPR, as the processing is necessary to facilitate your participation in the Event you have registered for.

Where online sessions are recorded for the purpose of making content available to registered participants or for internal review, we also rely on legitimate interests under Article 6(1)(f) GDPR.

If you have separately and explicitly opted in to receive our newsletter or product offers, the legal basis for those marketing communications is your consent under Article 6(1)(a) GDPR.

Within Finom, your personal data is accessible only to relevant Finom personnel involved in event management, marketing, sales, and customer success.

We may use external service providers to assist with the technical and administrative delivery of our Events, for example, to send emails, host and store data securely, and manage our databases, and marketing communications and support registration. These providers act under our instructions and are contractually bound to comply with applicable data protection laws and appropriate security measures.

Where Finom uses a third-party platform to host event registration pages or deliver online sessions, that platform processes your registration and attendance data as an independent controller under its own privacy policy. Finom is not responsible for that platform's independent data processing. We use only strictly necessary cookies on our Event pages, which do not require your consent, and no analytics, advertising, or tracking cookies. Where our Event pages include embedded content such as maps, limited technical data (such as your IP address) may be transferred to the relevant third-party provider on the basis of our legitimate interest, under Article 6(1)(f) GDPR, in providing functional and accurate Event information.

Where a service provider processes your personal data outside the European Economic Area (EEA), for example on the basis of an applicable adequacy decision or Standard Contractual Clauses, we ensure that appropriate safeguards are in place in accordance with applicable GDPR requirements.

We retain your personal data only for as long as necessary for the purposes for which it was collected. This includes retaining your data for the period required to administer and follow up on the Event, to comply with any legal, regulatory, or contractual obligations applicable to Finom, and, where necessary, to establish, exercise, or defend legal claims. Where you have consented to receive marketing communications, we retain your contact details for that purpose until you withdraw your consent.

Right to Access

You have the right to request information about the personal data we process, including the purpose of processing, the categories of data, and the recipients of the data.

Right to Rectification

If any of your personal data is inaccurate or incomplete, you have the right to request its correction or completion.

Right to Erasure (Right to be Forgotten)

You have the right to request the deletion of your personal data when processing is no longer necessary for the purposes for which it was collected.

Right to Restriction of Processing

You can request the restriction of processing in certain situations.

Right to Data Portability

You can request a copy of your personal data in a structured, commonly used, and machine-readable format and have it transferred to another data controller.

Right to Object

Where we process your personal data on the basis of legitimate interests under Article 6(1)(f) GDPR, you have the right to object to that processing at any time. Where you object to processing for direct marketing purposes, we will cease that processing without requiring justification.

Right to Withdraw Consent

Where we process your personal data on the basis of your consent under Article 6(1)(a) GDPR, you may withdraw that consent at any time by contacting us at privacy@finom.co or by using the unsubscribe mechanism included in any marketing communication. Withdrawal of consent does not affect the lawfulness of any processing carried out prior to withdrawal.

Right Not to be Subject to Automated Decision-Making

You have the right not to be subjected to automated decisions, including profiling, that have legal effects on you. We do not carry out such processing in connection with Events.

Right to Lodge a Complaint with a Supervisory Authority

If you believe that the processing of your personal data violates applicable data protection laws, you have the right to lodge a complaint with a supervisory authority. Finom's lead supervisory authority is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). You may also contact the supervisory authority in the Member State of your habitual residence, your place of work, or the place of the alleged infringement.

We may modify or amend this Privacy Notice from time to time. Any changes will be reflected in an updated revision date at the top of this page and will take effect from that date.
